How to write a pre-arrival message guests read

Four short paragraphs, one link, and nothing you would not say out loud.

The pre-arrival message is the most-read thing your hotel writes. It arrives when the guest is thinking about the trip, and it is the last chance to remove a worry before they travel.

Answer the three real questions

How do I get there, what time can I drop my bags, and where do I park. Everything else is decoration. Put those three answers in the first two paragraphs, in the guest's own language, with the address in a format their map app will accept.

One call to action, not four

If the message asks the guest to check in online, do not also ask them to follow you on social media, book a table and complete a preference survey. Every extra request reduces the completion of the first one.

Sound like a person

Sign it from a named member of staff and invite a reply. Roughly one guest in six will answer with something useful, such as an arrival time, a birthday or a dietary requirement. That reply is worth more than any upsell you could have attached.
